Communicating with Underwriters

Overview

Use conversations to communicate with underwriters for all of your markets and track the status of your submissions.


Creating Conversations

Conversations are created once you add a market to a placement. If you’d like to speak with an underwriter before you send a submission, send a message in the conversation and they will receive an email. Underwriters can reply to those emails and it will appear in conversations.

View all Markets, Message Multiple Markets, Add Additional Markets or reply to individual underwriters within the Conversation window.


Filter Markets

From the Placement Details page, expand the filter to sort market cards by line of business or status to narrow results.


Time Stamps

Everything in conversations is time stamped, so you know status updates as well as message timing. These statuses will be included in conversations:

  • Underwriter tags a policy, showing interest in receiving a submission (automatic)
  • Submission Sent (automatic)
  • Submission Received (automatic)
  • Submission Opened (automatic)
  • Under Review
  • Indication Provided
  • Quoted 
  • Bound or Declined 

Documents

You can attach new or existing documents in conversations with your underwriters. Standard email platforms allow file sizes up to 20MB total. File sizes for each attachment are shown in My Documents and within the Submission Template. If your attachments exceed this limit, please reach out to support@highwing.io for solutions. 

Any attachments received from your underwriter will be visible and downloadable from within the conversation as well. All documents from each underwriter conversation can also be found in the Documents tab of your Placements. 


Notifications

You will receive an email notification when you have a new message. The email will include a preview of the message and a link directly to the Highwing conversation so you can respond. You can also reply directly to the notification email and the Highwing platform will automatically capture your response in Conversations. 

If you are already logged into Highwing, you will see new conversation notifications in the bell icon at the top right of your Placements page. The message logo will be highlighted on your Placement to indicate ongoing conversations. Check out this article for more info on Notifications. 


Message Multiple Markets

Once markets have been added to a placement, from the 'Marketing' tab, select 'Message Markets' to update multiple markets at one time.

At any point of the submission process, including pre-submission, select the desired markets to receive the updated message and / or attachment. Enter the message and select new or existing attachment(s) and click 'Send' to deliver the message to multiple recipients with one click. The message will be added to the conversation thread for each market and included in the conversation transcript.
